How To Add New Booking Manually?

A HotelWeb’s PMS (Property Management System) dashboard is a central hub where hotel staff can access and manage various aspects of their property's operations.  We have tried to provide the best UI for better UX.

Here are some common features that you might find on HotelWeb’s PMS dashboard:

1. Bookings:

Here you can discover information regarding all hotel reservations. With a filter option for booking date, booking status, and room type, it is simple to locate the required booking information. This allows you to quickly track specific bookings and make changes if needed by clicking on the Edit option.

Also, you can add manual bookings from the dashboard.

Follow the below steps to add a new booking for the walk-in guest:

Step 1: Sign In to your HotelWeb PMS "Account"

Step 2: Click on the  “Add New Booking” Icon on the dashboard.

A booking Panel will be open where you can find details of all walk-in bookings. Also, by making use of the Filter option you can find information about the exact booking that you are looking for. 

Step 3: To Add New Booking manually you need to click on the "Add New Booking button". Check out the below image for a better understanding. 

Step 4: Enter a few details to check for availability.

  • Check-in and Check-out Dates: Select the desired arrival and departure dates for the booking.
  • Room Type: Choose the type of room or accommodation the guest requests.
  • Number of Guests: Indicate the number of adults and children accompanying the guest.

Step 5: Click on the “Search” Button.

You will see a list of the available rooms on your screen.

Step 6: Select one as per customer need and click on the “Book Now” Button.

New Window will be open to confirm the booking.

Step 7: To confirm the guest booking enter "Guest Information"

In the "Guest Information" section, enter the required details of the guest:

Full Name: Enter the guest's full name.
Contact Information: Provide the guest's phone number and email address.
Address: Enter the guest's residential or business address.
Email Id and Phone No: Ensure you enter valid email and mobile numbers.

Step 8: Enter “Source Information “

In that select Booking Source, Business Source, Travel Agent and Market Code if it is applicable for a guest. 

Step 9: Enter "Identity Information"

Check your guest's Id Proof and enter valid information.

For example, ID number, ID Type, Issuing Country, Issuing City, Expiry Date

After filling in all the Identity Information

Step 10: "Upload" scan copy of the ID proof

Step 11: Verify and confirm Room Information with a guest. 

You can make changes in “Room Charges” if it's needed.


The billing Summary will be displayed on your screen.

Here you can Add a "Discount" if it is applicable for a particular booking. 

Step 12: To Add a discount, select “Discount Type” (Percentage or Flat)

Step 13: Enter the "Amount or percentage" as per the selected discount type.

Step 14: Enter the final "Billing Amount" at the bottom

Step 15: Select the Payment Mode (Payment Link, Cash, Card, UPI)

Click on “Reserve or Check-In” to confirm a booking

 

Congratulations! You have successfully added a new booking in the Hotel PMS. Make sure to communicate the confirmation details to the guest and keep a record of the booking for future reference.
